Step 1 of 4

Before you travel

Five steps to complete from your own country. Registration is handled by ICAO; everything else by the host country. Allow six to eight weeks in total.

Step 1

Register with ICAO

Registration is completed in the official ICAO system, through the ICAN focal point designated by your State. The host country committee does not process registrations.

New focal points must be appointed by an official letter from their State.

Step 2

Obtain your invitation letter

This document is required in support of the visa application. It is issued by the organizing committee once your registration with ICAO has been confirmed.

Step 3

Apply for your visa

Requirements vary by nationality. Holders of diplomatic or service passports are covered by separate arrangements: contact the Equatorial Guinea diplomatic mission responsible for your country.

Documents usually required:

  • Passport valid for six months beyond your return date
  • Return ticket
  • Invitation letter
  • Accommodation booking
  • Travel insurance

Step 4

Update your vaccination

The International Certificate of Vaccination against yellow fever must be valid on arrival. It is checked at disembarkation.

The vaccine takes ten days to become effective, so do not leave it until the last minute.

Step 5

Notify your arrival

Flight, airport, time, hotel, head of delegation, VIP officials, mobility needs and any special assistance. This form is what triggers the protocol welcome and the allocation of vehicles.

Book your bilateral meeting slots

The ICAO appointment system opens once registration is confirmed. The most sought-after slots go quickly, so set out your priorities as soon as it opens.

What to know before you pack

  • Currency

    Key points
    Central African CFA franc (XAF), pegged at 655.957 XAF to 1 euro. Cards are accepted in the main hotels; carry cash for small purchases.
  • Climate

    Key points
    December is hot and humid, between 25 and 30 °C. Bring light, breathable clothing, a thin jacket for air-conditioned interiors and comfortable shoes.
  • Time zone

    Key points
    WAT, UTC+1. No daylight saving time.
  • Dialling code

    Key points
    +240. Consider a local SIM card or check your roaming: coverage can be patchy outside the main centres.
  • Languages

    Key points
    Spanish, French and Portuguese are the official languages. The working language of the conference is English.
  • Electricity

    Key points
    220 V. Bring a type C or E adapter, depending on your country.
